Raymond Brothers’ Rental Terms & Conditions

Quotes are not scheduled orders. Orders must be reviewed and confirmed with a deposit and a signed order. A confirmation will then be sent. Once an order is signed, the renter is stating that they are aware of the rental/install dates, details, pricing and terms.

Order Confirmation

Signed Rental Agreement and 50% non-refundable, deposits are required to confirm all rental/ tent install orders. Confirmation copy will be forwarded to client following receipt of signed agreement and deposit. Pricing is subject to change at any time. A quote will be provided from an event coordinator to confirm current availability, pricing and transport costs. Full payment is due before delivery/installation. A deposit can be rolled forward to a future date or new event if not utilized. Deposits are not applicable to clients on account with Raymond Brothers but a signed order and confirmation email is still needed to confirm an order.

Set-up And Take-down

Raymond Brothers does not provide set-up or take-down services of tables, chairs, linens, or any rental items, with the exception of tents & tent accessories, and dance flooring.

Additional fees will be applied if tables, chairs and rentals are not prepared for pick-up in the location/state as delivered.

Due to potentially serious safety hazards of contacting underground services with ground driven spikes, it will be the responsibility of the renter/property owner to ensure that all utilities are located and marked at least 48 hours before breaking ground.

Prior to the commencement of installation, the Renter shall clearly identify on the ground for Raymond Bros. the location of all underground pipes, wires, or other utility equipment on the lands and in the event of default of this connection, the Renter shall be responsible for all damage to the utilities cause by the stakes or other equipment. Installers have the right to refuse install if not clearly identified.

Public Locates

Raymond Brothers is a registered with Ontario One Call and is available upon request to contact that organization on behalf of the client to arrange locates. Please note that not all utility providers are members of One Call and it is the responsibility of the client to ensure that all applicable utility providers are contacted to provide locates.

Private buried infrastructure (including buried infrastructure beyond a utility demarcation point) on private property is the responsibility of the property owner to have marked.

Examples could include:

• Gas line that goes from a house to a BBQ or pool heater
• Lights, signs or security cameras
• Electrical lines going out to sheds or a detached garage
• Sewer and septic tanks, systems and piping

Pool lines, lawn sprinkler lines, septic beds and other privately installed items will not be listed on municipal locate reports, Raymond Brothers will rely upon the client to clearly mark the location of such items prior to the erection of the tent. Raymond Brothers will not be held liable for any damages or related costs should stake lines come in contact with these services. Locates must be marked at least 48 hours before installation. The property owner is responsible for the hiring, communication to Raymond Brothers and cost of this service.

Dinnerware, Glassware, Flatware

All dishes, glassware and flatware will be ready for your use, provided sterilized, wrapped, and undamaged. Glassware and dishes are to be returned upright in the boxes and crates which are provided. Rental Items must be rinsed or scraped and free of food and liquid when returned.
Failing to do so will result in additional fees.

Damage Or Missing Items

The damage waiver is an automatic, non-refundable fee for rental dishes, glassware and flatware. The damage waiver provides protection to the renter against accidental breakage while under their custody. Willful abuse, negligence, theft or missing rental items are not covered by the waiver and are subject to replacement charges. Unreturned rental items will be billed at replacement value.
Linen is to be returned free from knots, burns, holes, tears, staples and permanent stains including ink, candlewax, mildew and grease. Any damaged linens will be subject to replacement charges.
Rental items will be delivered and picked-up at a designated location. All delivered rental items are to be returned in their proper containers, neatly stacked for pick-up at the same delivery location. Tables and chairs stacked as they were delivered.
Additional charges will be applied if our team has to take down or organize rentals for pick-up.

Indemnification

The Renter agrees to indemnify and hold Raymond Brothers Ltd. harmless for any claims from Renters use or misuse, including any third parties for loss, injury, and damage to persons or property arising out of the Renter’s negligence or operation including legal costs incurred in defense of such claims. Renter agrees to pay all reasonable attorney fees and court costs incurred by Raymond Brothers in enforcing these terms and conditions. Raymond Brothers makes no warranties of merchantability or fitness for particular purpose, or any warranties, expressed or implied.The Renter agrees to indemnify and hold Raymond Brothers Ltd. harmless for any claims from Renters use or misuse, including any third parties for loss, injury, and damage to persons or property arising out of the Renter’s negligence or operation including legal costs incurred in defense of such claims.
